In this report we analyzed the 3 different case studies how it involves in developing the new system. In first case study College Education Completion, we understand the system development approach and implement the SDLC for the new system and the other case study Custom Load Trucking to analyze the project oriented approach in the business analysis and how project manager can make the project success. In last case study John and Jacob online trading system, we understand and identify the system requirements to develop the system.

TASK 1: COLLEGE EDUCATION COMPLETION METHODOLOGY

SUB-TASK 1.1: LIFECYCLE PHASES

College education completion is a project to complete the project in expected time and budget is very important for every student but many students are failing entirely to complete the college and many of the students completing very late with over budget. To manage and complete the college education successfully requires developing the college education completion methodology.

Students should develop and construct the system development lifecycle methodology to create the various phases and manage the activities in the corresponding phases. Every lifecycle methodology involves in different phases as follows:

  • Planning
  • Analysis
  • Design
  • Implement
  • Deployment

All these phases are traditional system development lifecycle phases. Planning is the starting phase to initiate the project and set the goals in this phase. In analysis phase or block people gather the requirements to develop the system and prepare the document for use in the design phase. In the Design phase people will read the requirement document and design the overall structure of the system. In the Implement phase people can implement the required functionalities and test those functionalities to verify whether those are reaching the requirements. And Deployment phase is the last phase of the college education completion project and students will complete the course successfully.

SUB-TASK 1.2: ACTIVITIES OF EACH PHASE

Students should perform the activities to complete the college successfully and all these activities will be come under various phases of the project.

In planning phase, student should set the goals to complete the semesters and complete the college successfully. Student should plan to go to the college and attend the classes every day and perform the assessments regularly. In analysis phase, student can get inputs from other successful students and course instructors and record those inputs and prepare the document. In design phase, student should read the inputs and build the structure to complete the college education. Student should implement the study process by involving in group discussions, seminars and online exams. Student should complete all the subject assessments and all the semesters successfully and complete the convocation and enter into the outside of the college.

SUB-TASK 1.3: TECHNIQUES

It is a process to help the students to develop their tasks related to the study program. Technique is a collection of instructions which used to complete the tasks. Students should use different techniques to evaluate their performances and analyze the issues. User interviewing techniques is the best suitable for completing college education project. Students can interview the other students and their lecturers and instructors to know the important inputs to complete the task successfully.

SUB-TASK 1.4: MODELS

Model refers the important aspect of the activity and it can be used in development of the study program and we can use some models which represent in graphical format. Here we can use the Gantt chart to represent the tasks and duration of completing the tasks and dependents. So that students can easily monitor their progress.

SUB-TASK 1.5: TOOLS

To develop the model we need to use the software tools which helps to draw in graphical format and it is easier to understand by the students. In this project we chosen to create the Gantt chart and we can use the Microsoft Project tool to create the suitable model for our project. And there are many project management tools available in the market.

TASK 2: CUSTOM LOAD TRUCKING

CLT is a trucking firm which specialized in the movement of high tech equipment. Rapidlygrowing technologies, communications and IT industries are pressuring the CLT to move the loads more quickly and rapidly. So to manage these CLT wanted to build the strong project managers within the organization.

SUB-TASK 2.1: PROJECT MANAGEMENT SKILLS

CLT takes the decision to build the project managers from their organization itself are the best choice since already internal employees have good knowledge in the existing processes and procedures. If they are from the organization means it very easier to evaluate their performance in their previous projects.

CLT should make sure that project manager have the following strong skills.

  • Communication– It is very important skill for the project managers. Through effective communication project managers can convey vision, goals, ideas and issues. They will also need to communicate with clients, customers, users and management of the organization through their effective communication and it plays very important role in bring up the projects.
  • Leadership – It is another essential skill to the project manager and they should provide the guidelines to their team mates and create the relationship with other teams to work cooperatively. They should be accountable, manageable and controllable. They always need to improve their leadership skills and qualities to improve themselves.
  • Team Management – Another strategic perspective of project managers is team management. Project managers required to manage the teams from operational point of view. Project managers should excel at administering and coordinating the teams of individuals by motivating them to work together (teamwork), set the goals, delegate the tasks, conflict resolving and evaluate the performance. It makes sure that team has in the right path.
  • Negotiation – Project manager should know how to negotiate well with budgets, resources, scope creep and schedules. By negotiating these factors well so the parties will be satisfy.
  • Personal Organization – Project manger should organize his works and teams work properly then it really improves Stewart as best project manager.
  • Risk Management – It is very important skill for the project managers. They should predict and prepare the solutions for the problems before they arise then it increases the chances of delivering the project successfully.(Abeid, n.d.)

SUB-TASK 2.2: CRITERIA TO MEASURE PROJECT MANAGEMENT RESPONSIBILITY OF STEWART

Monica wanted to measure the Stewarts’ performance as a project manager and she reviewed his record and she found that he is excellent team leader on his last project and he worked as a team leader and system analyst for his last project and he involved in system analysis, design and programming. He makes sure the project executed on schedule and also ensured that his team is also right on schedule. So Monica wanted to use some criteria to measure his project manager responsibility. We can provide the some inputs to measure his leadership qualities, communication skills and how able to manage the risks and how he interact with customers. Monica can use the performance as a metric and measure this metric to quantify the efficiency and effectiveness of the project. Monica also need to measure the budget metric, whether the project manager can be able to complete the project within budget and another metric is the time duration, whether Stewart can be able to complete the tasks within the expected time. All these metrics help the Monica to evaluate the Stewart’s project management responsibility.

SUB-TASK 2.3: NEW PROJECT MANAGER JOB STRUCTURE TO INCREASE THE SUCCESS

New project manager need to manage the every aspect of the projects from suppliers, resources to equipment and cost,so new managers should focus on 5 important goals of the project management to achieve the success.

  • Finish the project on time is the critical factor to achieve the success. To accomplish this goal, managers need to manage the scope very carefully and always keep the plan to be up to date.
  • New managers should make sure that projects finish under budget and the project costs should not over run.
  • Project should meet the system requirements 100%.
  • Project manager should manage customer’s expectations carefully and make sure that you are providing the project progress up to date to keep the customers happy.
  • Keep your team members happy by offering rewards and recognize them for the success since it is very important for project’s success.(Westland, n.d.)

SUB-TASK 2.4: ADVICE TO THE STEWART ABOUT MANAGING HIS CAREER

I will advise Stewart to take the PMP certification to manage his career and accomplish his immediate goal to become project manager. Stewart should join in the Project Management Institute to take the Project Management Professional certification. Many employers seek to hire the high skilled project management professionals. PMI certification designed to make sure that project manager possess the required skills and qualifications to manage the all phases of the project which includes project initiation, plan, schedule, and monitor and close the project. PMP certified managers also well versed and skilled in managing the time, scope and cost. Employers are depends on the PMP professionals to manage their budget, scope creep and track the costs and minimize the risk to protect the investment in the project.

TASK 3: JOHN AND JACOB INC.,: ONLINE TRADING SYSTEM

SUB-TASK 3.1: USERS INVOLVMENT IN DEVELOPMENT PROCESS

John and Jacob’s online trading system can be used by the customers and staff. So it is required to get the inputs from the brokers to upgrade the online trading system which can be used by them. Edward can provide the questionnaires for end user groups to get the feedback about the current project so that we can identify the current issues and analyze those to provide the solution. Questionnaire consist group of questions relating to the expected system and drawbacks of the current system. We place the quantitative questions with multiple choices and some of the questions have the fill in the blanks. Project manager need to identify the key users in the user group and distribute the questionnaires to the people at a time so that it takes very less time.

SUB-TASK 3.2: CUSTOMERS INVOLVEMENT IN DEVELOPEMNT PROCESS

John and Jacob’s trading system includes the trade order entry, trade confirmation and customized reporting, etc. to develop all these applications require to get the requirements of the customers but Edward is little nervous to involve them in the development process since they are not happy with the existing system since they used some legacy technologies to develop the application now they are updating the system with new technologies and intimate the users that new application is fit for the mobile and tablets, etc. it motivates the customers to involve in the design process and Edward can use the collaboration technique to invite the selected group of customers and make sure that their preferences also part of the input at the time of designing the system. Here customers can voice their concerns, preferences and pain points.

SUB-TASK 3.3: STAKEHOLDERS INVOLVEMENT IN DEVELOPMENT PROCESS.

Stakeholders are the internal employees of the organization, external clients and some of the suppliers. Involving the stakeholders is also very important element for project successful. We can gather the inputs from key stakeholders of the company at the time of development. As a project manager Edward need to identify the key stakeholders who are very important for this project, so Edward can involve the Financial and investing department leads to get the require inputs and also he can invite the top management or senior management of the organization to get the requirements.

CONCLUSION

In this report we discussed about the system development approaches to success the college education completion project and what lifecycle method we involve to complete the project successfully. We also discussed the another case study as Custom Load Trucking to understand the project oriented approach in the business analysis and the other case study John and Jacob online Trading System to understand the system requirements to develop the system.
